Teams can be created to assign / group specific Users and/or Drivers together, as well as their corresponding Tasks and Customers. Drivers and Users can also be assigned to multiple Teams. Drivers and Users will be included in all the operations and Tasks related to all the Teams they are members of.
Note: A User of Team A, for example, will only be able to view Tasks and Drivers associated with Team A, unless that User is assigned to other Teams.
This is a particularly useful feature if you are looking to manage certain aspects of your operations separately. For example; separate depots, geographical areas, operational use cases, and task types.
To create a Team, navigate to the Teams tab ⇒ Add a Team. Select the Users and Drivers you wish to assign to that particular Team using the drop-down menus. Optionally, you can also specify which Zones the Teams are to cover. Click Save in the top right corner once you have completed your changes.
What happens when a Driver changes Teams?
If you change the Team for your Driver their Routes and Tasks will not be changed and will remain in that Drivers' initial Team. So, when filtering through the Tasks they completed while they were in their initial Team, make sure to select that team to be able to view their Tasks. However, if you change a Team for a Driver that already has a Route, you have to unassign and assign Tasks again to that Driver to get the Driver's Team applied to the Tasks.
Assigning a Team to a Task
Assigning a Team to a Task can be done in the dashboard or via the CSV file used for Task import.
If the assignment is being done via the dashboard, you can choose one of two ways:
Specifying the team when the Task is being created manually from the dashboard. You can find this option in the Advanced tab of the Task form.
Or by adding it after the task has been created. This can be done in Tasks ⇒ Task Profile ⇒ Actions ⇒ Assign to a Team.
To assign a team to a task via CSV file, you can specify the desired team for that task in the Teams column.
The column, teams needs to be populated with the exact Team name, which can be copied from Teams ⇒ Team Profile ⇒ Name.
Assigning a Driver to a Team
There are two ways of doing this. One is done through the Driver section, and the other from the Team section.
Through the Driver section - Drivers ⇒ Driver profile ⇒ Edit ⇒ Assign to a Team. The available Teams will be displayed in the box on the left, while assigned Teams will be displayed in the box on the right. To assign a Team to a Driver, transfer the desired Teams to the box on the right, and to unassign just move the Teams back to the box on the left.
Or you can add Drivers to teams in Teams ⇒ Team Profile ⇒ Drivers
Assigning a Team to a Customer
It is possible to have a dedicated Team of Drivers delivering to a specific Customer, You can assign a Team to a Customer via CSV import, or manually through the Customer profile.
Once this is set up, in future optimizations the system will consider this and delegate tasks relating to a specific Customer to only the Team(s) or Driver(s) assigned to the Customer.
You can assign a Team to a Customer in Customers ⇒ Customer profile ⇒ Edit ⇒ Assign to a Team.
Once you've made any changes, click Save.
Deleting Teams
You can delete one Team or multiple Teams simultaneously.
To delete one Team go to Teams ⇒ Team profile ⇒ Actions ⇒ Delete.
To delete multiple Teams go to Teams ⇒ Select Teams ⇒ Actions ⇒ Delete
Before deleting a Team, make sure that there are no Drivers assigned to it, otherwise, you will not be able to delete the Team.
